2027 Corporate Event Calendar: When to Plan Every Event

Most corporate events are planned too late. The date gets set, the venue gets booked, and entertainment is the last call someone makes, usually a few weeks out when there is little time left to shape it around the event. This calendar lays out the main corporate and school event windows for 2027 and when to start planning each one.

The “start planning” column is the point where you should have a venue shortlist, a rough headcount and a budget range. It is not the point where you start looking for entertainment. Entertainment comes right after the venue, and for the busiest windows that means a hold on the calendar before you have a final guest list.

Here is the rule of thumb we suggest to planners. The bigger the group and the busier the month, the earlier the hold. A 40-person lunch in March can come together in a few weeks. A 250-person December party should be held in the early fall.

These are planning targets, not hard deadlines. If your date is closer than the table says, ask anyway.

January: new year and sales kickoffs

Kickoffs cluster in the first three weeks of January, and they are often planned while the holiday party is still being wrapped up. Start planning the entertainment in November. Ideas: new year kickoff meeting activities.

March and April: appreciation days

Employee Appreciation Day falls on the first Friday of March, which is 5 March in 2027. Administrative Professionals Day is Wednesday 21 April 2027. Both are short-notice events in most offices, which is exactly why planning them in January stands out. Ideas: funny employee appreciation awards.

Spring: conferences, offsites and retreats

How to use this calendar

  1. Work backward from the date. Venue, headcount and budget come first; entertainment should be booked right after the venue.
  2. Hold dates early. Many entertainment providers, including us, hold a date with an approximate headcount and no deposit.
  3. Reuse what works. A format that lands at the holiday party can anchor the kickoff a month later with new content.

Dates that move your calendar

A date that looks fine on your calendar can collide with a long weekend. Check these 2027 federal holidays before you pick a day, and confirm them against the OPM federal holiday schedule.

  • Martin Luther King Jr. Day: Monday 18 January. If your kickoff is that week, expect some people to be traveling or out.
  • Memorial Day: Monday 31 May. Late May spring events feel this weekend.
  • Juneteenth: Friday 18 June. It lands in the middle of graduation and summer outing season, so avoid it for an event you want everyone at.
  • Independence Day (observed): Monday 5 July, because 4 July falls on a Sunday. Many offices are quiet that whole week.
  • Labor Day: Monday 6 September. Back-to-school assemblies and fall kickoffs start right after it, so hold those dates early.
  • Thanksgiving: Thursday 25 November. Many people take Friday off too, so late November is a risky choice for anything with an attendance goal.
  • Christmas (observed): Friday 24 December, because 25 December falls on a Saturday. Hold your holiday party earlier in the month, not in the final week.

Private companies do not have to follow the federal list, and your own office calendar comes first. Still, it is a quick way to spot the weeks when attendance may drop.

Pick the day of the week on purpose

The weekday matters as much as the month. Here is the approach we suggest.

  • Tuesday to Thursday usually works best for in-office events. Mondays tend to be catch-up days and Fridays empty out early.
  • Late morning or early afternoon beats the last hour of the day. People are present, awake and not watching the clock.
  • Hybrid teams should pick one anchor day when most people are on site and build the event around it.
  • Schools need the event inside the school day or right after it, so confirm bell times and room availability first.

Our shows run 60 or 90 minutes, so you only need to protect one block on the schedule. Work out where it fits before you send the invitation.

A simple booking checklist for any event

  1. Set the goal. Is it thanks, team mixing, a kickoff or a celebration? The answer picks the format.
  2. Estimate the headcount. A range is fine. We work with groups from 20 to 300+.
  3. Confirm the venue basics. Space for the group, power, a screen, and room for the host. We bring the equipment, host and production to your venue.
  4. Choose a format. Face-2-Face Feud (Family Feud style), Minute to Win It, Wheel of Fortune style, Jeopardy style and trivia game shows suit different rooms and goals.
  5. Hold the date. There is no deposit. The date is reserved once the signed performance agreement is returned, and the host is named in that agreement.
  6. Send your content. Company milestones, names and survey answers make the questions yours.

Plan the whole year in one call

If you run several events, do not book them one at a time. Pick your three biggest dates, usually the kickoff, the summer outing and the December party, and hold them together. Then reuse a format with fresh content, so people recognize the show and still get something new.
